From the Cash Forecasting solution, go to Treasury > Banking > Bank Accounts.
The Bank Accounts list screen opens.
Select the Upload Bank Rules icons in the upper right corner.
Download and Fill Out Template
Select Download A Sample File.
Open the downloaded CSV template.
Enter your mapping rules to replace the sample data:
Transaction Type: Enter Credit or Debit to indicate the transaction type to search for.
Line Item Name: Enter the line item name to map the matching transactions to.
Line Item Type: Enter Payment or Receipt to indicate how the transaction is mapped to the line item.
Bank Account Number: The account number of an existing bank account, to make the rule specific to that account. Leave this column blank to create a global rule that applies to all accounts.
Description: (Max. 255 characters) Text to look for in the statement line description. This isn’t case sensitive. Multiple spaces and line breaks are collapsed.
Customer Reference: (Max. 255 characters) Text to look for in the statement line's customer reference.
Bank Reference: (Max. 255 characters) Text to look for in the statement line's bank reference.
Contra Account: Counterparty account number on the statement line.
Contra Bank: Counterparty bank code on the statement line.
Bank Tran Code: (Max. 20 characters) Bank transaction code on the statement line.
Exclude From Forecast: Enter Yes or No to indicate whether to exclude the mapped transaction from the forecast.
Exact: Enter Yes or No to indicate whether the key words must be used exactly to count as a match in the search.
Save your CSV file to your computer.
Upload Bank Transaction Mapping Rules
Select Choose File.
Navigate to and select the CSV file you saved.
Select Next: Preview Accounts.
Review your rules. If there are any errors, you see them here.
Select SAVE.
Manually Create Mapping Rules
Mapping rules can be created at the individual bank account level (local rules) or for all bank transactions (global rules).
Only admin-level users can create global mapping rules. Every user can create local mapping rules for the bank accounts they have access to.
Mapping rules run in a designated order. Local rules run before global rules, and unless the order is edited, newer rules run before older rules.
Open the View Bank Account screen (local mapping rules) or the All Bank Transactions screen (global mapping rules).
For global mapping rules:
From the Cash Forecasting solution, go to Treasury > BANKING > All Bank Transactions.
For local mapping rules:
From the Cash Forecasting solution, go to Treasury > BANKING > Bank Accounts.
The Bank Accountslist screen opens with a list of the bank accounts in the system.
Open the View Bank Accounts screen in one of the following ways:
Hover over the bank account, select the More icon, and then select Viewfrom the drop-down list.
Select the bank account name.
To create mapping rules through a smart search:
Enter one or more key words in the search bar.
Select the New icon at the bottom left of the screen.
To create mapping rules using the Mapping rules widget:
Select the New icon from the widget on the right side of the screen.
The Add Mapping Rule panel slides onto the screen.
Fill out the fields to create a mapping rule based on your search.
Select direction: Select whether to search for credit or debit transactions.
Select rule type: Designate the type of transactions to select.
Catch all: Selects all transactions based only on the selected direction.
Custom: Selects transactions by detecting key words in designated fields. Add additional key words if desired by filling in the field to search and the key words to search for. All additional key word search will be treated as AND statements.
If you are creating mapping rules from a smart search, the key words will already be populated here.
Make this an exact search: Select whether the key words must be used exactly to count as a match in the search.
Mapping options: Choose how matched transactions will be mapped.
Map to: Select the line item to map the matching transactions to.
Exclude: Do not map the matching transactions.
Sharing options: (only available for local rules) Select any other bank accounts to share the rule with. All bank accounts you have access to are available in the drop-down list.
If you edit a rule that is shared, it updates across all shared rules.
Select Save.
Manage Mapping Rules
Open the View Bank Account screen (local mapping rules) or the All Bank Transactions screen (global mapping rules).
For global mapping rules:
From the Cash Forecasting solution, go to Treasury > BANKING > All Bank Transactions.
For local mapping rules:
From the Cash Forecasting solution, go to Treasury > BANKING > Bank Accounts.
The Bank Accountslist screen opens with a list of the bank accounts in the system.
Open the View Bank Accounts screen in one of the following ways:
Hover over the bank account, select the More icon, and then select Viewfrom the drop-down list.
Select the bank account name.
Expand the type of mapping rules you want to review. Local rules always run before global rules.
The rules list will open, displaying the rules in the order they will run.
Hover over a rule to manage the rule.
Move: Opens a drop-down with options to move the rule to the top, up 1 position, down 1 position, or to the bottom.
