FI Accounting GL Processing: Run and Manage

Purpose

GL Processing is used to generate all accounting entries from deals and hedge relationships. Normally, it is only necessary to run the processing each accounting end of period, but you can also run from any date to allow corrections and missing entries to be raised before the general ledger closes for a period.

GL Processing also controls the export of the accounting entries.

Run Reports

  1. Go to Risk > Accounting > Accounting > GL Processing.

  1. The GL Processing screen opens.

  2. Enter your report parameters.

  3. Select Process.

  4. A list of accounting entries is then displayed in the panel on the right side of the screen.

Read Report Results

Each row is a single journal line (one debit or one credit) generated by matching the events in your selection against the GL mappings in the selected GL chart of accounts. Lines come in balanced pairs. Selecting one row automatically selects its opposite side because a journal is only ever exported as a complete pair.

The columns include:

  • Status: Export status. Only new lines can be exported. Exported lines must be unwound before they are exported again.

    • New: Not yet exported

    • Exported: Already written to a journal batch

  • Sequence ID: The line's sequence number and the ID of the deal or hedge relationship it came from.

  • Date: The event date the posting is recognized on.

  • Source: Accounting source (Accruals, Cash Flows, Valuations, Reclass).

  • Event: Accounting event type (for example, Accrual, Settlement, Revaluation).

  • Account Code: GL account’s full composite code that actually goes to the ERP. It's built by the chart's account key definition. If this doesn’t exist for the chart, the Natural Account Code appears in this column.

  • Natural Account Code: GL account's code for the single ledger account the line posts to, for example 41000 for interest income. It's the same value on every line that hits that account, regardless of which deal produced it.

  • Debit: The debit posting amount, in the reporting currency where one was selected.

  • Credit: The credit posting amount, in the reporting currency where one was selected.

  • Ccy: The deal's currency.

  • Reporting Ccy: The currency the amount is expressed in.

  • Narrative: The description that will carry into the ERP.

Not all columns are visible by default. You can show additional columns, including Batch Number, Other Ref, Settlement ID, Account Name, Deal Ccy Debit, Deal Ccy Credit, Rate and Quotation, GL FX Rate Sets, Recognition Rate, Amount, and the GL code columns for product, currency, counterparty, and business unit.

Verify Results

  • Debits must equal credits. Turn on the grid totals and check that the Debit and Credit columns agree for whatever you've grouped by. A one-sided figure means a mapping is incomplete.

  • Blank Debit and Credit means missing market data. The line was generated but couldn't be valued for the market data date used. Those lines can’t be exported. Add the missing rates and process again.

  • Nothing returned isn't necessarily a parameter problem. Lines exist only where a GL mapping matches the deal, event, and category. If an expected posting is absent, check GL Mapping before widening the filters.

  • Amounts are in the reporting currency when one was chosen. Add the Deal Ccy Debit, Deal Ccy Credit, and Rate columns to see the original amount and the rate applied.

  • Reprocessing doesn't duplicate anything. The results are regenerated each run. Lines already exported come back with status as Exported rather than being created again.

  • Under a consolidation template, the rows are consolidated totals rather than individual lines, and the layout controls are disabled because the template owns the layout. The underlying detail lines still exist and are what actually gets exported.

Export Lines

Exporting writes the journals, reclassifies the lines as Exported with a batch number, then automatically reprocesses so you see the new status. Export is available only when:

  • Posting Period is Accounting Period. The other posting period options are for review only.

  • The line status is New (not already exported). By default, only lines dated today or earlier are exported. If you want to be able to export future dates, contact Ripple Treasury Support to have this feature enabled.

  1. If you don’t want to export all available lines, select the lines you do want to export.

  2. Select Export All. or Export Selected (the button changes depending on whether you selected any lines)

  3. Select your export definition from the drop-down list.

    • Export definitions are managed in gear Platform icon > Connectivity > Job Management > Import/Export Definitions.

    • This manually runs a scheduled job. The job parameters are managed in gear Platform icon > Connectivity > Job Management > Scheduled Jobs.

  4. Select Export.

  5. Select Continue.

  6. Three actions occur:

    • An Excel document downloads to your computer.

    • The exported lines are written to the journals.

    • The GL Processing report reloads to show the exported lines as Exported and adds the batch number.

Edit Export Options

When you export, you manually run a scheduled job. The job parameters are managed in gear Platform icon > Connectivity > Job Management > Scheduled Jobs. Any of the export parameters can be edited.

Unwind Exports

Unwinding reverses journal entries for mistakenly-exported lines. Unwind the lines before the journals are picked up by your ERP.

  1. Select the lines to be unwound.

  2. Select the More icon.

  3. Select Unwind.

  4. Select Unwind.

  5. Two actions occur:

    • The exported journal entries are reversed.

    • The GL Processing report reloads to show the unwound lines as New

Fields visible without expanded view (before selecting More):

  • Chart of Accounts: The GL chart of accounts the journals are produced against. All active GL charts are available for selection. The report can’t be run until a chart of account is selected.

  • Mapping Type: Type of accounting.

    • Deal: Processes deal-driven accounting (accruals, cash flows, valuations, reclass).

    • Hedge Relationship: Processes hedge accounting postings.

  • Accounting Source: (Only visible when Mapping Type is Deal) Accounting sources. All selected sources must share the same accounting frequency if Posting Period is Accounting Period. This defaults to Accruals plus all other sources with a matching accounting frequency.

    • Accruals

    • Cash Flows

    • Valuations

    • Reclass

  • Posting Period: Sets the process calculation method.

    • Accounting Period: Date-based calculation. Dates come from the fiscal calendar and the accounting frequency. The arrows next to Period End select a single accounting period for GL Processing.

    • Custom: Date-based calculation. Dates are set by Period Start, Term, and Period End without accounting period constraints.

    • Live to Date: Date-based calculation. Only Period End is used, defaulting to today. Everything from deal inception to the entered date is processed.

    • Exported Journals: (Only visible when Mapping Type is Deal) No calculation. Stored GL journal entries are pulled to view. There are no new lines to export. Dates are custom set without accounting constraints and the Deal ID field is mandatory.

      • This option must be enabled for your environment. If you don’t see it, contact Ripple Treasury Support to have it enabled.

  • Fiscal Calendar: (Only visible when Posting Period is Accounting Period) Sets the calendar to define the reporting dates. It defaults to your default fiscal calendar.

  • Period Start: Sets the start date for the report. Works in conjunction with Term and Period End to set period.

  • Term: Sets the time covered in the report. Works in conjunction with Period Start and Period End to set period.

    • d: Days

    • w: Weeks

    • m: Months

    • y: Years

  • Period End: Sets the end date for the report. Works in conjunction with Period Start and Term to set period.

  • Market Data Start: (Only visible when Accounting Source is Valuations) The date defaults to your tenant’s accounting market data date offset window. Mark to enter a new date that overrides the default market data period.

  • Market Data End: (Only visible when Accounting Source is Valuations) The date defaults to your tenant’s accounting market data date offset window. Mark to enter a new date that overrides the default market data period.

  • Reporting Currency: Converts the reported amounts into a single currency. If you select none, amounts stay in each deal's own currency. Defaults to your tenant's default reporting currency.

  • Consolidation Templates: Consolidates the journal output via a saved template. The list of templates is filtered based on the Mapping Type. Selecting a template switches the results grid to the template's own layout and disables Manage View and the normal column and layout controls.

    • Consolidation templates are managed in the screen that opens when you select the button next to the drop-down field.

  • GL Category: Select one or more GL categories to be included.

  • Exposure Type: (Only visible when Mapping Type is Hedge Relationship) Select one or more exposure deal types to be included.

  • Relationship Type: (Only visible when Mapping Type is Hedge Relationship) Select one or more hedge relationship types to be included.

  • Hedge Type: (Only visible when Mapping Type is Hedge Relationship) Select one or more hedge deal types to be included.

  • Posting Type: Property of the GL mapping that decides how the amount is calculated and how the journal is meant to behave in the ERP.

    • Reversing: The journal is written as a reversing entry, meaning the ERP backs it out on the first day of the next period. Because it will be reversed, Ripple Treasury posts the full balance to date rather than the movement. Accrual lines are calculated since the deal's last roll, and valuation lines carry the full market value. Next period the ERP reverses the whole thing and Ripple Treasury posts a fresh full balance. This is the classic month-end accrual pattern, and it's why the same deal shows a much larger figure under Reversing than under Non-Reversing for the same period.

    • Non-Reversing: The journal stands permanently in the ERP, so Ripple Treasury posts only the movement for the period. Accrual lines are calculated for the period start to period end. Valuation lines are calculated as the change since the prior period's valuation. Each period's entries build on the last, and the account balance in the ERP accumulates.

  • Accounting Event: Select one or more accounting event types to be included.

  • Apply Credit Adjustment: (Only visible when Mapping Type is Deal) Mark to apply the credit (CVA/DVA) adjustment to the valuations used for valuation postings, so mark-to-market journals match credit-adjusted values.

Fields only visible in expanded view (after selecting More):

  • Portfolio: (Only visible when Mapping Type is Deal) Select one or more portfolios to be reported.

  • Deal Type: (Only visible when Mapping Type is Deal)  Select one or more deal types to be included.

  • Product: (Only visible when Mapping Type is Deal) Select one or more products to be reported. Select none for deals without a product.

  • Flow: (Only visible when Mapping Type is Deal) Select the flows (such as Borrow, Invest, Pay, Receive, Buy, Sell) to be included.

  • Currency: Select one or more currencies to be reported.

  • Counterparty: (Only visible when Mapping Type is Deal) Select one or more counterparties to be reported.

  • Business Unit: Select one or more business units to be reported.

  • Account: Select one or more charts of account to be reported.

  • Deal ID: (Only visible when Mapping Type is Deal) Enter the deal ID to be included. This is optional unless Posting Period is Exported Journals.

  • Hedge Relationship ID: (Only visible when Mapping Type is Hedge Relationship) Enter the hedge relationship ID to be included. This is optional.

Manage Consolidation Templates

Consolidation templates allow you to view the accounting details based on the template details. A typical consolidation is based on the account number, effectively making the resulting entries appear as one entry per account, each entry being the sum of the underlying individual entries.

It is possible to export from a consolidated view, but use caution to ensure that all the fields required for the export are still visible within the consolidated view. If you export from the consolidated view, all the underlying entries are marked as Exported.

Open Consolidation Templates Screen

  1. Go to Risk > Accounting > Accounting > GL Processing.

  2. Select the List icon next to the Consolidation Templates field.

  3. The Consolidation Template screen opens.

Create Consolidation Template

  1. Open the Consolidation Template screen.

  2. Select New Template.

  3. Enter the template name.

  4. Select whether the template is for Deals or Hedge Relationships.

  5. Select Create.

  6. The new template opens and is ready to be edited.

Edit Consolidation Template

  1. Open the Consolidation Template screen.

  2. Select the template to be edited.

  3. Mark fields to include them as columns in the report and unmark fields to exclude them.

  4. Use the arrows to move fields up and down in the list. This rearranges the column order.

  5. Select Save to save the changes or Save As to create a new template from the changes.

Reporting Period Convention

New balances accrue from the date onward but movements always take effect from the movement date.

  • Period Start: Balances on this date accrue to the previous period (not the one you are reporting). Principal movements on this date affect the current period in your report.

  • Period End: Balances on this date accrue in the current period you are reporting. Principal movements on this date affect the next period (not the one you are reporting).

This difference in how balances and movements are captured is why you use different report dates between reports to capture information for the same month.

Editable in Application Settings for Accruals. Your setting applies consistently to Borrow/Invest Statement, Accruals Report, and GL Processing in the same way.

Manage Report Grid

The following functions aren’t available if you are using a consolidation template.

Column Management

Resize:

  1. Hover your cursor over the column break on the header line.

  2. The cursor changes to a double headed arrow.

  3. Click and move the cursor left or right to change the size of the column.

  4. Double-click to return the column to its original size.

Reorder: Select, drag, and drop the column header to reorder the columns.

Show and Hide:

  1. Select the More icon for any column header.

  2. Select Columns to expand.

  3. Mark columns to show them or unmark columns to hide them.

Sort:

  1. Select a column header to sort by that column.

  2. An arrow appears to show the sort order (ascending or descending).

  3. Select the same column again to reverse the sort order, and a third time to remove sort.

  4. Select any additional columns to sort by.

  5. If you select multiple columns, a number appears next to the arrow to indicate the sort order.

Filter:

  1. Select the More icon for the column header you want to filter.

  2. Select Filter to expand.

  3. Use the filter parameters to set up one to two more filters.

  4. Select Filter.

  5. The filter appears in the top right corner above the grid.

  6. Select Remove to remove all filters.

Grouping

You can group your data by one or more columns. For detail reports, it’s common to group by the ID to keep each deal’s periods together.

Group by Column:

  1. Drag and drop the required column header into the group row above the grid.

  2. The view refreshes to be grouped in the new format and automatically sorts by group in ascending order.

    • Select the arrow to reverse the sort order.

  3. Repeat the above steps to group by more than one column.

    • Select, drag, and drop the groups to change the order of the group headers.

  4. Select the X icon for any group to remove the group.

Add, Edit, and Remove Column Totals:

  1. Right-click in any column.

  2. Select Column Totals to expand.

  3. Select the type of total to include.

    • Depending on the data type in column you clicked, not all total options may be available.

    • Don’t attempt to sum the Principal column. This data repeats per event within a period, so a total is meaningless. Instead, Amount and Units Balance are summable.

  4. Mark Include Label to show a column label that indicates the type of total for the column or unmark to hide the label.

Views

Manage Views:

  1. Select the grid icon in the upper right corner to expand the View options.

    • Save, delete, or undo changes in your view.

  2. Use the View drop-down list to switch between saved views.

Print:

  1. Right-click anywhere in the grid.

  2. Select Print.

  3. Confirm the print preview.

  4. Select Print.

  5. Select whether to save the pages as a PDF or send to your local printer.

Copy:

  1. Right-click anywhere in the grid.

  2. Select Copy Grid.

    • If the data is grouped, the grouped headers won’t copy but the data will copy in the same grouped order.

  3. Paste the grid into your Excel spreadsheet.
