This document describes the Ripple Treasury Business Continuity Plan which refers to the routines and precautions taken by Ripple Treasury in order to prevent and/or mitigate and recover from a significant adverse event which disrupts the company’s key operations.  This document describes Ripple Treasury’s business continuity plan.  Business Continuity at Ripple Treasury reflects the organization’s efforts to sustain the viability of the internal infrastructure and solutions delivery services.  

The principal objective of the business continuity plan is to develop, test and document a well-structured and easily understood plan which will help the company recover as quickly and effectively as possible from an unforeseen emergency which interrupts information systems and business operations and ensure the effective continuity of the company’s business. 

Additional objectives include the following:

  • The need to ensure that all employees fully understand their duties in implementing such a plan.

  • The need to ensure that operational policies are adhered to within all planned activities.

  • The need to ensure that proposed contingency arrangements are cost-effective.

Business Continuity should be tested at least once every 12 months to ensure that it can be implemented in emergency situations and that the management and staff understand how it is to be executed. 

The business continuity plan is to be kept up to date to consider changing circumstances.  The plan will be reviewed and updated (if appropriate) at least annually.  The Business Continuity plan is stored on the intranet so that all users can access the plan if the need arises. 

Communication

The Business Continuity team in each region is made up of the site coordinator (senior member of management) and representatives of the fire marshal team, human resources, IT, the security & compliance team or delegate.  Additional members of the management team will be included in meetings and communications if an incident or alleged incident arises. 

In the event of an emergency, the team will assemble immediately to take control of the situation, lead occupants out of the Ripple Treasury office space to safety, notify Municipal Authorities (police & fire) and if appropriate, implement the plan.  If there is a material impact to operations, clients will be notified.  If relocation is necessary, customers will be given all pertinent information such as address, phone numbers, etc.

Responsibilities of the Team

  • Respond immediately to a potential disaster and call emergency services.

  • Assess the extent of the disaster and its impact on the business, data center, etc.

  • Decide which elements of the Business Continuity Plan should be activated.

  • Determine whether an office should be closed in the event of a pandemic or severe environmental condition.

  • Ensure employees are notified and allocate responsibilities and activities as required.

  • Inform customers and maintain timely communications with all customers affected by the disaster. This communication process is the responsibility of the client services team. 

Emergency Alert, Escalation and Activation

This policy has been established to ensure that in the event of a disaster or crisis, personnel will have a clear understanding of who should be contacted.  Procedures have been addressed to ensure that communications can be quickly established while activating business continuity.  The business continuity plan will rely principally on key members of management and staff who will provide the technical and management skills necessary to achieve a smooth technology and business recovery. 

The person discovering the incident calls a member of the Business Continuity team. 

  1. Procedures for Management

Members of the management team will keep a copy of the names and contact numbers of employees on their teams.   

  1. Contact with Employees

Managers will serve as the focal point for all employees, while designated employees will call other employees to discuss the crisis and the company’s immediate plans or needs.  Employees who cannot reach staff on their call list are advised to call the staff member’s emergency contact to relay information on the situation.  Employee and emergency contact information is available in Ripple Treasury’s online Human Resource system. 

  1. Backup Staff

Employees are will be required to bring their laptop computers home each day in order to be able to work remotely if the situation requires.

  1. Alternate or Temporary Offices

  2. All Ripple Treasury personnel can work remotely utilizing VPN connections. In the event Ripple Treasury office locations are destroyed, or otherwise rendered unusable, arrangements may be made to relocate to fully ‘shared office’ accommodations.  Personnel and Family Notification

If an incident has resulted in a situation which would cause concern to an employee’s immediate family such as hospitalization of injured persons, it will be necessary to notify their immediate family members quickly. Emergency information is available through Human Resources.
